HOW TO USE THE ADDRESS PROGRAM
------------------------------
Introduction :
--------------
Address is a database management program for IBM and IBM
compatible computers that support PC\MS-DOS 2.0 and greater.
It allows you to keep track of your personal and business
address and telephone lists with the minimum of effort.
Before attempting to use this program you must make a working
copy of this disc. With this disk in the A drive and a formatted
disk in the B drive type "copy *.* B:". Remove the disk in the A
drive and store in a safe place. Use the disk in the B drive as
your working copy. If you have a hard disk copy the program
files to a new directory area on the hard disk using the
MS-DOS, MD command to make the new directory.
To run the program place the working disk in the A drive and
with the A> prompt on the screen type "ADDRESS". All that is
needed from now on is to follow the menu prompts as they appear
on the screen. If you have a hard disk go to the new directory
with the C> prompt on the screen by entering "CD (new name)"
and then typing "ADDRESS".
Features :
---------
The program is case sensitive i.e. Lastname = "Doe" is correct,
Lastname = "doe" or "DOE" is incorrect. With the exception of
the country name all names begin with upper case letter.
Address is designed to work with both International and USA
addresses. It allows you to enter the following data for each
address in your list :-
1) Lastname ; The lastname of the individual.
2) Firstname ; A full firstname or nickname - this name is
not used for address labels - so this field can be used to
remember the name the individual likes to be addressed by when
being spoken to on the telephone or in person.
3) Initials ; Initials to be used on address labels.
For example, "A.L."
4) Title ; Mr. , Dr. , Ms. etc. Particularly important
for foreign address where titles are important. For example, the
usage of "Don Sr." in Spanish or "Herr" in German.
5)Co. Title ; Company title - Vice President, etc. Simply
leave blank for non company addresses, such as friends.
6) Company ; Company name - leave blank for non company.
7) On Mail List ; Logical field enter Y or N for yes or no.
A yes entry will flag the address for regular mailings such as
company reports, sale notices, etc
8) Active List ; Logical field enter Y or N as above. A
refinement to the mailing list which allows selection of those
addresses which have responded to mailings.
9) Home address ; Logical field enter Y if home address N
if company address. Distinguishes between Home and Office
address
10) Street ; Street name and number.
11) Suburb ; Additional space for foreign addresses only -
leave blank for USA addresses.
12) City ; Town or City
13) State ; Two letter code if in USA - the program will
check the code if it is incorrect you will be prompted for the
correct state name and the code for that state will be displayed
14) Zip ; Zip code accepts European and USA format
15) Country ; Enter country name in upper case. If not
entered correctly prompt will give selection of correct country
spellings. Do NOT leave blank
16) Country Code ; Country code for direct dialling. USA
is "1", England is "44", etc. Do NOT leave blank.
17) Home Area code and Home number
18) Work area code and work number
19) Telex number
20) Alternative work number ; useful in foreign countries
where telephone service less reliable than the USA.
Printing :
----------
Once the information is entered the following reports and labels
can be printed :
1) Labels
The label printing facility requires 3.8" wide by 15/16" high
labels on a 9.5" carrier - 2 across the page.
1.1) USA home and company addresses. Company addresses use
the company name and the the company title of the individual.
1.2) International home and company addresses
1.3) Mailing list labels - international and USA
2) Addressbook - printer must be capable of 17 cpi
The addressbook prints an address listing in book form, for both
company and home addresses - telephone and telex numbers are
also printed.
3) All Addresses - requires 17 cpi and wide printer
An address listing in report form of addresses in the database
4) Telephone list a list of telephone numbers arranged
alphabetically by lastname. Wide printer or 17 cpi.
Other :
------
Records in the file can be found by company or lastname and
edited or removed.
Records can be added by company or lastname - duplicates are
permitted (so that both the home address and company address for
an individual can be stored), but the program will flag them to
avoid inadvertant duplication.
